MISSION for FINANCIAL AID COORDINATOR
Under the direction of the Director of Financial Aid, the Financial Aid Coordinator will perform a variety of functions to administer all phases of the student financial aid application cycle. Responsibilities include reviewing and processing student applications, documents, and records, as well as determining aid eligibility for federal, state, and institutional programs. The Coordinator will also assist in planning, organizing, and conducting financial aid presentations for students, families, and community members. This position serves as the primary point of contact for students regarding all financial aid matters, meeting with students regularly to provide guidance, answer questions, and resolve concerns. The role ensures that EDvance College delivers high-quality, responsive, and student-centered customer service to both internal and external audiences.
ROLES AND RESPONSIBILITIES
Student Service and Outreach
- Student-Centric Service Model: Ensures a high standard of service delivery to students, families, and community members through all financial aid interactions, with a commitment to clarity, responsiveness, and inclusivity.
- Works closely with Admissions, Outreach and Recruitment to assist in planning, organizing, coordinating, and conducting internal and external presentations and workshops to provide prospective and continuing students with specialized assistance and information regarding financial aid programs, including program requirements and applicable deadlines. This includes, but is not limited to, Student Financial Planning Meetings and Financial Aid Information Sessions.
- Serve as a financial aid liaison to students, community members, interdepartments, and local agencies by providing outreach to diverse communities, recruiting students to apply for financial aid, and disseminating financial aid program information to increase awareness of available services and opportunities.
Student Counseling & Support Services
- Provide detailed information and assistance to students, families, faculty, and staff regarding financial aid programs, types of aid, application processes, and eligibility requirements, and interpret federal, state, and institutional regulations, policies, and procedures.
- Provide counseling to prospective and current students on the institution’s cost of attendance, available financial aid grant programs and award packages, and recommend appropriate financial resources, such as scholarships and employer-sponsored educational stipends.
- Guide students through the completion of financial aid applications and forms, submission of supporting documents, and review of their financial aid application checklist.
- Respond promptly to student inquiries regarding financial aid via email, phone, and virtual meetings; assist students in reviewing application status, understanding award packages, and navigating financial aid processes.
Application Processing and File Review
- Assist in the student application and file review process by reviewing and processing student financial aid files; verifying records and documentation; computing aid eligibility according to established state, federal, and institutional guidelines; generating letters or emails to students for missing information.
- Perform need analysis to determine student financial need and eligibility for various state, federal, and institutional awards.
Evaluate special circumstance and appeal requests, recalculate financial need, and apply appropriate overrides to determine eligibility and adjust financial aid awards. - Perform technical duties related to departmental computer systems; implement, test, and debug program changes; and assist in determining packaging parameters.
- Assists in the import and processing of financial aid applications as needed in the assigned Student Information system.
- Review student academic progress in accordance with the institution’s Satisfactory Academic Progress (SAP) policy and applicable federal and state regulations to determine financial aid eligibility.
- Maintain accurate and complete records related to the administration of financial aid programs, ensuring compliance with federal regulations and established institutional and departmental procedures.
Awarding and Reporting
- Participate in all phases of the financial aid packaging process by analyzing student eligibility and awarding or adjusting state, federal, and institutional aid in the Student Information System. Ensure awards are accurately packaged, updated, and reconciled in accordance with state, federal, and institutional regulations.
- Assist in coordinating the accurate transmission and disbursement of financial aid funds by reviewing eligibility, resolving discrepancies, and ensuring proper posting within the student information and financial aid systems.
- Prepare and maintain a variety of records, files, and reports related to financial aid activities; assist in compiling and maintaining statistical data for state, federal, and institutional reports.
Financial Aid Policy and Compliance
- Maintain current knowledge of state and federal financial aid programs by attending meetings and workshops related to changes in eligibility requirements, application procedures, and regulatory updates.
- Support the enforcement of Title IV federal and state financial aid regulations, along with institutional and accreditation requirements, to ensure regulatory compliance.
- Assist with preparing student files and records for annual financial aid compliance audits and maintaining comprehensive records to ensure data accuracy.
Other duties as assigned by the Director of Financial Aid or management.
COMPENSATION
$80,000 - $93,000 annually, $38.46 - $44.71 per hour.
Positions hired at 75% time or higher are eligible for EDvance College’s comprehensive benefits package (i.e., medical/dental/vision, 401k and additional peripheral benefits including but not limited to flexible spending accounts, life insurance, etc.).
Eligibility for medical/dental/vision benefits begins the first day of the month following the date of hire. Eligibility for 401k plan participation begins the first of the month 60 days following the date of hire.

Requirements
Required Qualifications:
The minimum education, experience, or other background required to be considered eligible to apply for, or otherwise perform the duties of the position being applied for. Candidates must meet all required qualifications to be eligible for employment.
- Experience: Minimum of 3 years experience in financial aid within higher education, including experience in conducting financial aid presentations to the community, providing financial aid counseling to students, processing financial aid applications and packaging aid.
- Bachelor’s degree from an accredited institution;
Ability to travel and attend in-person recruitment events and workshops in the greater bay area region to counsel prospective and current students on financial aid. - A background check (may include: employment and education verification, criminal records, civil records, professional licenses, credit and sex offender registries, as position requires). Failure to satisfactorily complete the background check and pass the criminal portion of the check may affect employment eligibility as it relates to the job specific duties listed below:
The role involves access to sensitive information, including student Social Security numbers, financial/tax information, and confidential financial aid records.

Factors, experiences or circumstances that represent additional qualifications supporting fulfillment of the position. Candidates are not required to meet all desired qualifications to be eligible for employment.
- Bilingual/Biliterate in Spanish, with strong oral and written communication skills to provide guidance and support to Spanish-speaking students and families regarding financial aid.
