Description
Job Overview
The Human Resources Assistant provides administrative and operational support to the Human Resources department, with a strong focus on employee onboarding, leave administration, and compliance with federal and California employment laws. This role assists with day-to-day HR processes, maintains accurate employee records, and supports employees and managers by ensuring HR procedures are followed consistently and professionally.
Essential Duties and Responsibilities
- Recruitment & Interviewing
- Coordinate recruitment activities, including posting job openings, reviewing applications, and scheduling interviews
- Serve as an initial point of contact for candidates and respond to routine applicant inquiries
- Conduct or participate in initial phone or virtual screening interviews for designated positions, as assigned
- Prepare interview materials, interview schedules, and candidate packets
- Coordinate interview logistics with hiring managers and interview panels
- Support the preparation and issuance of offer letters and pre-employment documentation in coordination with HR leadership
- Onboarding & Employee Records
- Coordinate and support the onboarding process for new hires, including new hire paperwork, background checks, and I-9 verification in compliance with federal and California, Arizona and Nevada requirements
- Prepare onboarding documents, and policy acknowledgments
- Maintain accurate and confidential employee personnel files and HRIS records
- Support new hire orientation and ensure required trainings are completed
- Leave Administration (FMLA / CFRA / ADA) - MUST HAVE EXPERIENCE
- Administration of employee leaves of absence, including FMLA, CFRA, Pregnancy Disability Leave (PDL), and personal leaves
- Track leave eligibility, usage, deadlines, and required documentation
- Prepare and send leave notices, forms, and correspondence in coordination with HR leadership
- Support the ADA interactive process by tracking accommodation requests and documentation
- Maintain accurate leave and accommodation records in compliance with legal requirements
- Workers’ Compensation & Safety Support
- Assist with Workers’ Compensation claims administration, including intake of injury reports and coordination with insurance carriers
- Ensure required Workers’ Compensation forms are provided timely
- Track claims, work status updates, and return-to-work documentation
- Support compliance with workplace safety and injury reporting requirements
HR Administration & Compliance
- Respond to routine employee inquiries regarding HR policies, benefits, and procedures
- Assist with benefits administration and open enrollment support as assigned
- Support compliance with federal, state, and local labor laws and organizational policies
- Assist with audits, reporting, and documentation requests
- Maintain strict confidentiality of employee and organizational information
General HR Support
- Assist HR leadership with projects, reports, and administrative tasks
- Coordinate meetings, trainings, and HR communications
- Perform other duties as assigned to support the HR department
Requirements
Required:
- High school diploma or equivalent
- Minimum two (2) years of human resources support experience
- Proficiency with Microsoft Office and ability to learn HRIS systems
- Strong organizational skills and attention to detail
- Familiarity with California labor laws, including FMLA, CFRA, ADA, and Workers’ Compensation
Preferred:
- Experience working in healthcare or an FQHC environment
- Experience with HRIS platforms (e.g., ADP, Bamboo HR)
- Bilingual skills (preferred, not required)

Physical and Work Requirements
