Organizational Context:
The American Sociological Association (ASA) has a membership of 9,000 sociologists who are scholars, teachers, and practitioners. Its mission is to advance the discipline of sociology by supporting a diverse and inclusive community of sociologists, increase public knowledge and understanding of society through sociology, and promote the use of sociological insights to drive positive social change. ASA is incorporated in Washington, D.C., but staff works 100% remotely. Some travel is required.
Held every August, the ASA Annual Meeting provides the opportunity for professionals involved in the scientific study of society to share knowledge and new directions in research and practice. More than 600 program sessions are convened during the four-day meeting, providing participation venues and networking opportunities for nearly 3,000 research papers and more than 4,500 presenters.
Essential Functions:
- Develop Annual Meeting communications, including monthly newsletters and program materials.
- Support the association’s Program Committee in planning Annual Meeting content and activities.
- Manage the Annual Meeting submission, review, and scheduling processes.
- Serve as the primary liaison to Annual Meeting Section session organizers regarding processes and procedures; update and maintain organizer resources.
- Coordinate the planning and contracting of Section meetings and receptions held during the Annual Meeting.
- Manage exhibit and advertising planning, sales, and fulfillment.
- Monitor and manage emails sent to the meetings department general inbox.
- Respond to member and staff inquiries related to meetings and events.
- Assist with onsite management of the Annual Meeting each August, including the shipment of materials and inventory management.
- Assist with vendor RFP development, selection, contracting, and execution.
- Perform other duties as assigned by the Director of Meeting Services.
Requirements
Reporting Structure: The Meeting Services Associate reports to the Director of Meeting Services.
Job Classification: Exempt

- Bachelor's Degree
- Certified Meeting Professional (CMP) designation
- Three years of meeting or special event planning experience
- Excellent writing, editing, and verbal communication skills
- Strong interpersonal skills
- Experience with planning virtual meetings
- Strong organizational, problem-solving, project management, process improvement, and creative-thinking skills
- Ability to work independently, collaborate effectively across departments, and provide exceptional service to members, vendors, exhibitors, and external audiences
- Experience using, managing, and navigating online platforms and resources, including but not limited to All Academic, Association
- Management Systems such as ClearVantage, mass email systems such as Higher Logic/Real Magnet, and web development platforms such as WordPress
Compensation: Salary is competitive and commensurate with experience. A full benefits package is provided.
